How we look after your information.

Plain English, no fine print games. This explains what we collect, why we collect it, who else sees it, and what you can ask us to do about it.

The short version We collect what we need to book you in, look after your skin safely, and stay in touch about your visits. We do not sell your information, and we do not share it so anyone else can market to you. You can ask for a copy, ask us to fix it, ask us to delete it, or stop the texts, any time.

1. Who we are

This website is operated by Laura Patterson / Laura Sue Esthetics. We are a medical spa serving the Flathead Valley from two locations, and this policy covers this website, our phone line, our text messaging, and the information you give us in person.

We also see clients inside Poppy & Aster in Columbia Falls, Montana. Both locations are covered by this policy.

2. What we collect

Only what we actually need. In practice that is:

  • Your name, so we know who we are talking to and who is booked in.
  • Your mobile number, so we can confirm your appointment, send reminders, and answer you by text.
  • Your email address, if you give us one.
  • Appointment details: the treatment, the date and time, the location, whether you came in, and any rescheduling or cancellation.
  • What you write to us. If you use the chat assistant on this website, or text or call us, we keep a record of that conversation so the next person you speak to has the context and you do not have to repeat yourself.
  • Skin and health information you choose to share when you ask about a treatment or fill in an intake or consent form: your skin concerns, medications, allergies, past treatments, pregnancy, and anything else relevant to whether a treatment is safe and suitable for you. See section 5, because we treat this differently from everything else.
  • Payment records. Payments for services, products and gift cards are taken through our booking and payment provider. We can see that a payment happened and for how much. We do not store your full card number.

We do not ask for your Social Security number, and please do not send us one.

3. How we collect it

Four ways, and that is the whole list:

  • The chat assistant on this website. Bella asks for a name and mobile number when you want to book, so a real appointment can actually be made.
  • Phone calls to (406) 500-7210.
  • Text messages to and from our business line.
  • In person at your appointment, including on intake, consultation and treatment consent forms.

You may book online through our treatment selector, call us, or ask Bella for help. Medical intake and treatment consent are completed through the secure signed treatment consent form linked after booking.

4. Why we use it

  • To book, confirm, reschedule and cancel appointments.
  • To send appointment confirmations and reminders.
  • To answer your questions, whether you called, texted, or asked Bella.
  • To deliver your treatment safely and plan the right care for your skin.
  • To take payment and keep our own business records, including anything the law requires us to keep.
  • To occasionally ask you for a review after a visit.

That is it. We do not build advertising profiles, and we do not run behavioural ad tracking on this website.

5. Health and skin information

Anything you tell us about your skin, your health, your medications, or your treatments is confidential. We use it for one purpose: to look after you properly and decide, with you, whether a treatment is safe and right for you.

We do not use your health information for advertising. We do not sell it. We do not share it with anyone so they can market to you. We do not post about it, and we will never use a photo of you publicly without asking you first and getting your agreement in writing.

Within our own team, your information is seen only by the people involved in your care and in running your appointment. Where the law gives your health information additional protection, that protection applies on top of everything written here, not instead of it.

6. Who else touches your information

We use a small number of service providers to run the practice. They handle your information on our behalf, under our instructions, and only so they can do the job we hired them for.

  • Hello Bella, the platform that runs our front desk. Bella, the chat assistant on this website, is provided by Hello Bella, and Hello Bella also sends and receives our appointment texts and keeps our client records on our behalf. Hello Bella acts for us. It does not use your information for its own marketing.
  • Our booking and payment system, which holds appointment records, gift card balances and payment processing.
  • Telephone and messaging carriers, the phone companies that physically deliver our calls and texts to your handset. They have to see the message to deliver it, in the same way the post office sees an envelope.

We may also share information if the law requires it, for example a valid legal request, or where it is necessary to protect someone's safety.

We do not sell your personal information, and we do not share it with anyone for their own marketing.

Specifically, and as required by the mobile carriers who deliver our text messages:

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

7. Text messages and consent

Providing a mobile number while booking allows us to send operational appointment texts about that booking, including confirmations, reminders, scheduling updates, and the signed treatment consent form. If you tell us not to text, if the number cannot receive texts, or if SMS is blocked, we use email when a usable address is available. Promotional messages require separate permission through Bella's recorded call disclosure or the optional signed-form checkbox. Promotional permission is not required to book or receive treatment.

  • Message frequency varies based on your activity, which mostly means how often you book.
  • Message and data rates may apply, depending on your mobile plan.
  • Consent is not a condition of purchase. You can be a client here without agreeing to texts. Tell us and we will call you instead.
  • Reply STOP to any message to stop receiving texts from us immediately.
  • Reply HELP for help, or call us at (406) 412-4495.

The full written text messaging terms are published in Section 10 of our Terms of Service. If you reply STOP, we keep a record that you opted out, because that is the only way to make sure we do not text you again by mistake.

8. Cookies, and what this website actually stores

Being honest about this is easier than being vague, so here is the whole picture.

This website does not run advertising trackers or analytics. There is no Google Analytics, no advertising pixel, no cross-site tracking, and no cookie banner, because there is nothing to consent to.

Two things do happen in your browser:

  • Fonts. The typefaces on this site are loaded from Google Fonts, which means your browser requests those font files from Google and Google therefore sees the request. This happens on every page.
  • The Bella chat widget. When you open the chat, the widget saves a small marker in your browser's local storage so your conversation stays connected if you move between pages or come back a little later. It expires after about six hours. It also remembers, for the length of your browsing session, whether the little chat greeting has already popped up, so it does not keep interrupting you. You can clear both by clearing your browser's site data.

Some buttons take you to other companies' websites, for example Google Maps for directions. Once you are on their site, their privacy policy applies, not ours.

9. How long we keep information

We keep client and appointment records for as long as you are a client of ours, and afterwards for as long as we reasonably need them: to look after you if you come back, to keep proper treatment records for a medical spa, to handle any question or dispute about a visit, and for as long as tax, accounting and health record keeping rules require us to.

Chat and text conversations are kept for the same reason, so we have the context of what was said and agreed.

We have not set an arbitrary number of days here, because that would be a made up figure. If you want to know what we hold about you, or want it deleted, ask us and we will tell you what we can and cannot delete, and why.

10. Your choices

You can, at any time:

  • Ask for a copy of the information we hold about you.
  • Ask us to correct it if something is wrong or out of date.
  • Ask us to delete it, and we will, unless we are legally required to keep part of it, in which case we will tell you which part and why.
  • Stop the texts by replying STOP, or by telling us.
  • Ask us not to use the chat assistant with you and speak to a person instead. Call (406) 500-7210 during business hours.

Just call or email us using the details in section 12. We may need to check who you are before we hand over personal information, which is a protection for you, not an obstacle.

11. Other things worth saying plainly

Children

Our services and this website are intended for adults. We do not knowingly collect information from children under 13 through this website. Treatments for anyone under 18 are only carried out with a parent or guardian involved.

Security

We take reasonable steps to protect your information, and we limit who can see it to the people who need it. No system is perfectly secure, and we will not pretend otherwise. If something goes wrong with information we hold about you, we will tell you.

Changes to this policy

We may update this page as the practice changes, for example if we start using a new system. When we do, we will change the "last updated" date at the top. If a change materially affects how we use your information, we will make that clear rather than quietly editing the page.

12. Contact us about any of this

If you have a question about your information, or you want a copy, a correction, or a deletion, contact us directly. A real person will answer.
